At Northwest Florida Association Management our primary goal is to provide exceptional full-service property management at an affordable price. We strive to ensure that every property we manage is well-maintained and that the investment of each owner is cared for and protected. We have spent many years acquiring the skills and knowledge necessary to accomplish these goals and commit to nothing less than the highest standards in the daily management of our customers' property. 

 

Our President and Senior CAM has lived in the area since 2003 and has over 15 years of experience as a Community Association Manager working with Condominium and Homeowners' Associations here on the Gulf Coast. He obtained a Bachelor of Science Degree from Loyola University of Chicago which has one of the highest-rated business ethics programs in the country. He is also the primary point of contact for all of our customers, and you can expect to reach him personally, not an automated help line or call menu, whenever you have a question or are in need of assistance.

Administration

Our administration services include:

  • Preparation of Annual Budgets and Reserve Funding levels

  • Noticing of all Board, Membership, and Committee Meetings

  • Attendance at all Board, Membership, and Committee Meetings

  • Conference calls and teleconferencing

  • Annual Meetings and Elections

  • Preparation and recording of Meeting Minutes

  • Association website design and maintenance

  • Working with legal counsel as directed by the Board

  • Maintenance of Owner and Tenant Contact Lists

  • Communication of important matters to the Membership

  • Insurance appraisals and policy maintenance

  • Rules & Regulations documentation and enforcement

  • Hiring, training, and counselling of staff

  • Working with vendors and acquiring bids for projects

  • Estoppel preparation and other essential transfer of ownership administration

  • Maintenance of owner files and all important records of the Association

  • Division of Corporations Annual Reporting

Accounting

Our accounting services include:

  • Preparation of monthly financial statements for submission to the Board

  • Monthly reconciliation of all bank accounts

  • Filing of bank and financial statements with transaction details on a monthly basis

  • Collection of current and past due assessments and any other receivables

  • Calculating and applying late fees and/or interest and sending statements to members with overdue accounts

  • Payment of utilities, vendors, and any other payables in a timely manner

  • Special assessment preparation and collection 

  • Depositing receivables to the Association's accounts in a timely manner

  • Reserve funding management

  • Investment management

  • Payroll services

  • Working with the CPA for the Association regarding year-end tax filing, auditing, and year-end financial reporting

Maintenance

Our maintenance services include:

  • Janitorial services necessary to ensure all common areas are clean and well-provisioned

  • Maintenance services necessary to properly maintain and care for the common elements

  • Pool and spa maintenance

  • Unit maintenance if required by the Association

  • Frequent site visits and property inspections

  • Prioritizing and coordination of maintenance staff on routine or other maintenance issues as necessary

  • Investigation and resolution of maintenance issues such as leaks or other circumstances that warrant Association involvement

  • Acquiring bids and working with vendors when maintenance or repairs are beyond the scope of on-site maintenance

  • Coordination with vendors to allow access to common areas or units to address issues when required
